How Runö halved its course administration workload with Lime CRM

The challenge: manual and time-consuming

Before Lime, Runö relied on Excel and Word. Invitations were printed and sent by post, and participant responses were registered by hand. Getting an overview of past courses and upcoming registrations was a constant struggle.

– We went from Excel, Word and posted invitations to automated flows where participant responses are registered directly in the system, says Marie Latva, Course Administration Coordinator and System Manager.

The organisation needed a system that reduced manual work, provided a clear overview and met GDPR requirements as well as secure handling of participant data.

When Marie Latva was looking for a system that matched their needs, it was Lime’s flexibility that won her over.

– The most important thing for us was that the system works for us and can be configured around our needs, rather than us having to adapt our operations to the system, said Marie Latva.

With Lime, different types of training can be managed in different ways – some courses are open to everyone, others visible only to selected participants. Integration with BankID signing, automated invitations and a participant portal ties the entire flow together.

AI-driven workflows now handle what previously required manual effort. Course registrations, digital responses and document management run almost entirely on their own – freeing up time and reducing the risk of errors.

A smooth and fast implementation

Lime quickly got to grips with Runö’s operations, despite the complexity of their training solutions. The implementation was carried out with frequent testing, ongoing feedback and real-time adjustments.

– What really made the difference was that Lime quickly understood our operations, even though our training solutions are quite complex, explains Marie Latva.

The process from decision to full operation moved faster than expected. Both the implementation phase and the ongoing collaboration are characterised by expertise and a shared focus on finding the right solution.

Perhaps the clearest sign of the transformation is that course administration is now handled by half the number of people as before – without any reduction in capacity. A direct result of moving from manual processes to automated flows in Lime.
